What we hold, and for how long

We photograph people's property. That deserves a plain answer about where the imagery goes, rather than three pages of boilerplate. Last updated September 2026.

What we collect

  • What you send us. Name, email, phone and whatever you write in the enquiry form or an email.
  • Inspection and shoot material. Photographs, video, thermal imagery, underwater footage, measurements and our written notes about the property, along with the date, time and GPS position where each was captured.
  • Client portal sign-in. The email address you sign in with, and the fact you signed in. There is no password to store and we never see one.
  • Website visits. Anonymous page counts through Cloudflare Web Analytics. No cookies are set for this, no advertising identifiers, and nothing is sold or shared with advertisers.

What we do not do

We do not sell, rent or trade anything we hold. We do not publish imagery of a client's property for marketing without asking first, and we do not use a client's job as a sample report or a social post unless they have said yes in writing. We do not run advertising trackers on this site.

Who can see your material

  • You, and anyone whose email address you ask us to add to your portal account.
  • Us — the owners of the company, for doing the work and answering your questions about it.
  • Nobody else, unless you tell us to send it to somebody, or a court orders it.

Files are stored with Cloudflare, in the United States. Every download is checked against your account first, and nothing is reachable by guessing an address. The one exception is a share link, which only exists if you ask for one.

Share links

Photography clients often need to hand the pictures to somebody else — a seller, a marketing desk, an MLS listing. So a photo or video gallery can be given one long, unguessable web address that opens it without signing in.

  • It is off unless you ask us to switch it on, and it covers that one gallery and nothing else.
  • Inspection findings never get one. Only photography and video.
  • Anyone holding the address can view and download that gallery, so send it to people you mean to.
  • Ask us to switch it off and the address stops working immediately — there is no grace period.
  • We record the date, country and browser of each opening so we can tell you whether it has been used. No addresses, no names.

How long we keep it

  • Delivered work stays available in your portal for as long as you are a client and for at least two years after the last job, so you can come back to it when you sell, claim or repair.
  • Field notes, voice memos and unused imagery from a job are kept for two years, then deleted.
  • Enquiries that never became jobs are deleted within twelve months.
  • Records we are required to keep — invoices, contracts, flight records — are kept as long as the law and our insurer require, typically seven years.

Ask us to delete your material sooner and we will, apart from those last records. Ask us to keep it longer and we will do that too.

Other people's property and privacy

Flying over a property means neighbouring land sometimes appears at the edge of a frame. We do not photograph inside a neighbour's windows, we do not fly to observe people, and we blur or cut anything incidental that identifies someone before it reaches a report. If you believe we have captured something of yours and you would like it removed, write to us and we will remove it.

Security

The portal, the field app and every file download sit behind a one-time-code sign-in, apart from a share link you have asked us to switch on. Traffic is encrypted in transit, files are encrypted at rest, and access is checked on every single request rather than once at the door. If something ever went wrong with a client's material, we would tell that client directly and promptly, not bury it.

Your choices

Ask us for a copy of anything we hold about you, ask for it to be corrected, ask for it to be deleted, or ask us to stop emailing you. One message does it — there is no form and no fee.

This page describes how we actually work. It is not a contract; the inspection services agreement and property access authorization you sign for a job are.
